Puget Sound Naval Shipyard and Intermediate Maintenance Facility (PSNS&IMF) is looking to hire (2) GS-0318-07 Secretary positions in the Ocean Engineering Department. These position's require the employee to obtain and maintain a TOP SECRET CLEARANCE with a Special Background Investigation (SBI). Here are the major duties associated with the positions: Maintain and control the supervisors calendars advising them daily of appointments or conferences; obtain and provide background information on various subject matter and present information to supervisors prior to scheduled phone calls, visitors or meetings. Establish priorities, schedules, reschedules, or refuse appointments without prior approval and must accept or decline invitations to meetings, using initiative and discretion. Arrange for meetings and appointments that may involve a wide range of agency activities, other agencies, or a large segment of the public or business community beyond the supervisor's immediate organization. Receive and screen visitors and phone calls referring them to other departmental staff members or other departments when they do not require the attention of the Director based upon knowledge of programs and operations. Perform liaison duties as necessary between the Director and his subordinates and other departmental personnel. Tact, discretion and knowledge of departmental policies, programs and organization work flow and communication lines are required to accomplish this function. Courtesy and diplomacy are exercised in making these contacts in order to maintain good working relationships. Review various communications systems to determine correspondence of direct importance and applicability to the Technical Director. Make arrangements for conferences, reserves space for the conference, and notifies each person who is to attend of the date, time and place as well as the subject matter. independently develop reports in support of various projects and provides results to Program management, as required. Provide direct support of Director in the performance of his/her duties as Local Technical Authority and provides clerical and administrative support of non-conformance initiations within the Department by maintaining current software programs. Responsible for compiling and issuing various daily, weekly and monthly reports. Incumbent must have a working knowledge of Microsoft Office products, particularly EXCEL and Access to enable generation of these reports. These reports cover such subjects as engineering progress, scheduling and commitment, expenditures, Planning Yard performance and project performance. Establish and maintain files primarily for the use of the Director, including such material as departures, correspondence and reports (filed by general subject and/or type). Acts as custodian of unclassified material on file, which is directed to the Director. Review correspondence or other action documents compiled by the division staff for completeness, clarity of expression, format, adherence to stated departmental and shipyard policy, and grammatical correctness prior to presentation to the Director for signature. Perform miscellaneous duties as assigned by the Director. These duties may include but are not limited to: maintaining records on prospective new hires (recruiting efforts), consolidating the departmental overtime, maintaining records on Planning performance and ensuring employee qualifications are maintained current.
