SUMMARY

Northwest Immigrant Rights Project (NWIRP) seeks a mission-driven, detail-focused and tech-savvy individual to join the organization as a full time Administrative Associate.
The Administrative Associate provides support in a number of areas to NWIRP’s operations and legal staff. The Administrative Associate administers the grants and contracts supporting NWIRP’s critical programs and offers day-to-day IT troubleshooting and maintenance to all four of NWIRP’s statewide offices. In addition, the Administrative Associate covers the Seattle office’s front desk and provides administrative support to all NWIRP Legal Units. The Administrative Associate works closely with the Administrative Director to ensure all systems function effectively and efficiently.Candidates must be bilingual (Spanish/English).

RESPONSIBILITIES

GRANTS AND CONTRACTS (40%):
·         Serve as the primary person responsible for grant and contract reporting, working in collaboration with the Executive, Finance and Development Directors or program staff;
·         Maintain and manage all files and documents relating to grants and contracts between NWIRP and funding entities;
·         Maintain and manage systems to keep track of application and reporting deadlines for grants and contracts;
·         Maintain and manage systems to track program outcomes, demographic information and other data points required by funding entities.
ADMINISTRATIVE SUPPORT (35%):
·         Daily processing of cash, checks and other revenue sources;
·         Provide backup support to reception staff and handle incoming calls from potential clients and other stakeholders;
·         Train and coordinate office spaces for new staff, interns and volunteers; supervise administrative volunteers;
·         Provide ongoing general administrative support to NWIRP staff with a variety of clerical tasks as directed, including daily fax forwarding and backup mail processing;
·         Monitor office supply inventory and order/distribute office supplies for various offices; tidy-up common areas;
·         Other duties may be assigned depending upon NWIRP’s needs and the skills or passions of the successful candidate.

TECHNOLOGY SUPPORT (25%):
·         Across our four offices in Granger, Seattle, Tacoma and Wenatchee, coordinate the basic maintenance of and user support for the following (training provided):
o   Computer systems
o   Network infrastructure
o   Phone systems
o   Copying/printing systems
o   Database management
o   Physical workstations
o   User account creation and closure

PROFESSIONAL QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES

  • Personal passion for immigrant rights with a belief in the mission, vision and values of Northwest Immigrant Rights Project; commitment to working in a culturally diverse environment.
  • Proficiency in Spanish is required;
  • Basic IT support skills; a positive and friendly attitude; patience with people for whom technology concepts
    do not come naturally;
  • Strong long-term planning skills and an ability to demonstrate initiative in addressing emerging responsibilities;
  • Outstanding written and verbal communication skills;
  • Ability to organize information clearly and succinctly;
  • Ability to manage multiple tasks and to meet deadlines;
  • Ability to work independently for long periods of time;
  • Highly motivated, resourceful, and open-minded;
  • Experience with or willingness to learn Microsoft Office, Adobe products, Google Apps Dashboard, social networking sites, databases, instant messaging, Windows Server and Exchange (including Active Directory) and various Internet browsers;
  • Experience with or willingness to learn troubleshooting of image copying/scanning technologies.

Physical demands: While performing the duties of this job, the employee is regularly required to sit, stand and walk, use hands to finger, handle, or feel, reach with hands and arms, and talk or hear as well as utilize the telephone, computer, pen and paper. Should be able to lift/carry up to 25 pounds.

Beginning salary is $35,667 and is higher depending on experience. This full time position is included in NWIRP’s collective bargaining unit and includes health, dental and other benefits.
